You Have Heard It For Years, The Paperless Office: Are You Any Closer?
Since the mid 1990’s people have discussed making their office paperless. Right? Some twenty plus years later organizations are still discussing going paperless, now we refer to this activity or goal as a Green Initiative. The reality is that with today’s technology you should be managing your records and documents as secured digital images as much as possible. Actually, the majority of paper records used by an organization, start as an electronic file, which is then printed and copied, often multiple times.
According to an AIIM Market Intelligence in 2014, Paper Wars 2014 – an update from the battlefield survey, 68% of respondents agree that “business at the speed of paper will be unacceptable in a few years’ time”. Going paperless will not eliminate all paper, but it will allow your organization to better manage their vital records and documents.
A recent Coopers & Lybrand study revealed some interesting facts regarding the use of paper in organizations today. As you review a few of these, see how many you recognize from experience in your office.
- 90% of corporate memory exists on paper.
- Of all the pages that are handled each day in the average office, 90% are merely shuffled.
- The average document is copied 19 times.
- 7.5% of all documents get lost, 3% of the remainder are misfiled.
- Companies spend $20 in labor to file a document, $120 in labor to find a misfiled document, and $220 in labor to reproduce a lost document.
- Professionals spend 5-15% of their time reading information, but up to 50% looking for it.
Going paperless makes sense in many ways. It is good for the environment, but one of the most important reasons to move away from paper is that we can leverage digital documents and powerful workflow engines as well as advanced integration to line of business systems and email to more effectively manage the distribution and approval processes in our organizations.
